Viewing work schedule arrangements for a specific pay period
View schedule snapshots to get more details on the holidays and work schedule arrangements a pay period is based on
Time data and calculations shown under Approvals are based on the set work schedule arrangement during that pay period. To perform additional checks or get a better understanding on how time is being calculated, you will be able to view a summary of the holidays and work schedule arrangements pertaining to a particular pay period.
What are work schedule snapshots?
Work schedule snapshots are a summary of the work schedule arrangements and holiday information captured for a specific pay period when the pay period moves to the Open state. This is beneficial as changes made to work schedule arrangements and holidays will cause regular timesheets to be recalculated whereas pay period timesheets are preserved and do not change when edits are made.

Schedule snapshots consist of:
- Public holidays
- Shows all the public holidays applicable during a pay period
- Information shown may vary across members as it is based on the public holiday calendar a member is assigned to
- Shortened days
- Shows all the shortened days applicable during a pay period
- Information shown may vary across members as it is based on shortened day rules assigned to members via their public holiday calendars and work schedules
- Work schedule arrangements
- Shows the set work schedule arrangements during a pay period, including start and end times, breaks and overtime rules (location assignments are not applicable)
- Information shown may vary across members as it is based on the work schedule a member is assigned to
Viewing work schedule snapshots
Users of all roles will be able to view their captured schedule details for a specific pay period via the Approvals tab. Work schedule snapshots are view-only and can no longer be changed or edited.
Important 💡: Snapshots are only applicable to pay periods that are in “Open,” “Reopened,” or “Approved” statuses. Snapshots will not be displayed for current pay periods that are still “In Progress.”
Owners/admins/managers
- Go to Timesheets > Approvals.
- Select a pay period by clicking on the left and right arrows on the date range.
- Click on a member you wish to view the schedule snapshot for.
- On the left panel, click on View Schedule Snapshot.
- The saved public holidays, shortened days and work schedule arrangements for the particular pay period will be displayed.
Members
- Go to Timesheets > Approvals.
- Click on a pay period you wish to view the schedule snapshot for.
- On the left panel, click on View Schedule Snapshot.
- The saved public holidays, shortened days and work schedule arrangements for the particular pay period will be displayed.

We are currently working on further additions to our Approvals functionality where you will be able to refresh schedule snapshots to enforce recalculation of approvals timesheets based on current holidays or work schedule arrangements or following any necessary changes made.
