After 15+ years in the trenches of construction – I’ve had to deal with the good and the bad. Dealing with site delays, RFI disasters, and the odd coffee-spill-on-the-drawings incident – I’ve learned to rely on construction management software to keep things in order. However, flashy logos and marketing don’t impress me. Good tools do.

RedTeam claims it’s one of those good tools. They say it’s built by contractors, for contractors, and it’s gotten enough buzz to warrant a deeper look. So I rolled up my sleeves and took it for a spin.

In this RedTeam review, let’s find out if RedTeam is the real deal or just another gimmick in disguise.

RedTeam is a cloud-based construction project management platform designed to help general contractors run projects from bid to closeout. Whether you’re juggling RFIs, submittals, budgets, or billing – RedTeam wants to be your all-in-one command center.

What makes it different? It’s built by construction pros who know the game. This isn’t just another tech startup trying to ride the construction wave – it’s software that seems to actually understand the headaches we deal with.

You can access it via desktop or from your mobile phone (iOS/Android), and it’s designed to connect your field and office teams, so nobody’s working off an old set of plans – or worse, their memory.

What Features Does RedTeam Have?

RedTeam offers a broad suite of tools covering preconstruction planning, financial control, contract and document management, field operations, and subcontractor coordination.

Project and Task Management

RedTeam allows users to plan and organize projects through task-level detail and visual scheduling tools. Project managers can break down work into individual tasks or phases, assign responsibilities, and apply start and finish dates.

These tasks can be connected using inputted dependencies that auto-adjust when schedules change. Progress can be viewed via Gantt charts and updated in real-time with completion percentages.

Tasks include areas for file attachments, notes, and status tracking. A centralized dashboard provides an overview of open tasks, upcoming deadlines, and milestone progression for each project.

Contract and Change Order Management

Contract management in RedTeam includes tools for creating and tracking contracts, subcontracts, and purchase orders. Documents can be customized and issued electronically for signing through its DocuSign integration.

The platform supports structured change order workflows, allowing users to document change requests, update scope descriptions, assign costs, route them for approval, and integrate them into the project budget.

All contract and change activity is logged and stored for auditing and compliance purposes. Users can monitor real-time contract balances and view the impact of changes on overall project costs.

Budgeting, Job Costing, and Financial Controls

RedTeam provides comprehensive budget creation, cost tracking, and forecasting functionality. Budgets can be segmented by divisions, cost codes, or line items and can include labor, materials, subcontractor services, and overhead.

As commitments and expenses are recorded, actuals are compared against projected costs in real-time. The platform includes forecasting features such as earned value analysis and cost-to-complete projections.

Budget items are automatically updated based on approved change orders. Financial users can also manage progress billing, track markup, and contingency reserves, and generate budget variance reports.

Accounting Integrations

RedTeam integrates with QuickBooks Online, QuickBooks Desktop, and Sage, enabling synchronized financial records between project and accounting systems. Integration includes the transfer of purchase orders, invoices, payments, and vendor data.

The system minimizes duplicate data entry and improves reconciliation by aligning financial information across platforms. Data syncs are logged and tracked, and discrepancies are flagged for user review.

Subcontractor Management

The subcontractor module enables users to invite vendors to bid on scopes of work, evaluate responses, and execute contracts. Compliance documentation, including licenses, COIs, and tax forms, is tracked and linked to each subcontractor’s profile.

RedTeam automatically alerts users when key compliance documents are missing or set to expire. Subcontractor activity is tracked across jobs, and each vendor’s past performance and bid history is stored for future reference. Users can restrict access to documents and control visibility based on project roles and compliance status.

Procurement Management

Procurement functions in RedTeam include purchase order generation, vendor coordination, and material delivery tracking. Purchase orders can be tied to cost codes and budget lines, and each order includes item descriptions, unit pricing, delivery dates, and vendor terms.

Orders are routed through approval workflows before being sent to suppliers. Once materials are delivered, receipt confirmations are logged and connected to invoice records. Users can monitor procurement status across multiple projects and view detailed logs of outstanding or completed orders.

Document and Drawing Management

RedTeam offers centralized file management with structured folder hierarchies and role-based access permissions. Documents such as drawings, RFIs, submittals, contracts, safety manuals, and permits can be uploaded and organized within project-specific directories.

The system includes version control that prevents outdated files from being used. Users can markup PDFs, track changes, and link documents directly to relevant tasks or cost codes. Access logs track file downloads and edits, supporting transparency and accountability.

RFI and Submittal Tracking

RFIs in RedTeam follow a defined workflow beginning with submission, followed by assignment to responsible reviewers, and concluding with documented responses. Each RFI includes due dates, reference documents, and attachments.

Submittals are logged by specification section, assigned to reviewers, and routed through approval chains. The system allows for revision tracking, internal comments, and final approval storage. Logs of RFIs and submittals provide a clear view of open items, average response times, and overdue reviews.

Daily Reports and Field Logs

Field reporting tools allow daily logs to be submitted through the RedTeam app or web portal. Logs include entries for subcontractor invoices, weather, safety observations, incidents, labor attendance, inspections, and materials received.

Users can upload site photos and assign them to specific activities or areas of work. All logs are time-stamped and geo-tagged and are reviewed by project supervisors for accuracy. Reports are stored in chronological order and are searchable by date, project, or crew.

Mobile Functionality

RedTeam’s mobile app provides access to project data for field users and includes capabilities such as photo capture, task updates, RFI responses, and report submissions. The app supports offline use, allowing users to work without an internet connection and sync data once reconnected.

Voice-to-text entry is available for hands-free reporting. The app interface is optimized for both smartphones and tablets, providing quick navigation and responsive layouts for use in field conditions.

Reporting and Analytics

RedTeam includes pre-built and customizable reporting tools covering budgeting, scheduling, compliance, and team performance. Reports can be filtered by date, project, cost code, or team member, and include visuals such as charts and tables.

Export options include PDF and Excel formats, and users can schedule recurring reports or share dashboards internally. Administrative settings allow managers to define report access based on user roles and project assignments.

How Much Does RedTeam Cost?

RedTeam doesn’t advertise exact pricing on their website – you’ll need to request a demo for a quote (because of course you do). But based on similar platforms, expect a subscription model based on company size, number of users, and project volume.

One upside, however, is all RedTeam subscriptions allow unlimited users and unlimited projects, so you don’t need to worry about hitting a limit, and having to fork out further fees.

Will it be cheap? Nope. But good construction software rarely is. The real question is whether the investment pays off in fewer headaches and smoother builds. Spoiler: It often does.

What Features Do I Like About RedTeam?

Built by Builders, Not Techies

RedTeam feels like it was made by someone who’s spent some time on the job site. The layout, the workflows, the language – it’s intuitive for people who spend their time in the field, rather than behind desks.

Forms don’t feel like tax returns, and the features you actually use are front and center, not buried under ten sub-tabs.

This means a lot to me, I want to know that the tools I use are built by people that have actually been in my shoes (or work boots), and will therefore understand the pain points that contractors face.

Strong Change Order Workflow

In my experience, change orders are where profits go to die – or get rescued. They are often the catalyst for the most difficult conversations, and having the right information recorded and communicated is the key to success.

RedTeam’s change management makes tracking changes, approvals, and costs simple and visible. No more black holes where requests disappear or costs go rogue. You can communicate changes directly with clients and subcontractors, so no more “you never told me it would cost that much”.

Good communication is where so many issues can be avoided, and RedTeam allows change orders to be submitted, reviewed, and approved in one singular transparent space.

Subcontractor Management That Actually Works

Tracking subcontractor compliance, bid comparisons, and insurance expirations is enough to make even the most experienced construction veterans get a headache. RedTeam handles it all.

Rather than making an already challenging component of construction management a chore, it feels like someone finally gave site admins a tool that lightens the load instead of just creating more work.

In my experience, the tasks and procedures that don’t get done are usually the ones that feel like the most ‘work’. Who wants to process subcontractor compliance on a Monday morning when you “just need the job done”? Well – I for one am in favour of anything that makes admin heavy tasks easier, and RedTeam does just that.

Daily Logs Without the Drama

On-site teams can log progress, attach photos, and check weather conditions right from their phones. And because it’s synced in real-time, project managers can check-in to catch problems before they become delays.

RedTeam has formatted daily logs, so site managers and foreman just need to fill in the boxes and take pictures, making their job easier. If site teams job’s are made more straightforward, they can focus more on delivering the projects rather than trying to produce reports on top of reports minutes before site inspection day.

What Features Do I Dislike About RedTeam?

Pricing Transparency (or Lack Thereof)

Just tell us what it costs! We’re big kids – we can handle it. Having to book a demo just to find out if it’s in the budget is annoying and wastes time. RedTeam aren’t alone with this, but it doesn’t make it any less frustrating.

Even a ballpark price range on the website would help smaller teams plan better, and see if it’s even worth a look. I understand the model – get contractors on a demo so they can be sold to, however, this benefits the salesman, not the client.

I think it’s about time we made this process a thing of the past, particularly when other software companies are offering digital tools completely free!

Limited Integrations Outside the Usual Suspects

Sure, RedTeam plays nice with QuickBooks, Sage, and a few others. But if you’re using more niche tools – say for timesheets, takeoffs, or CRM – you will be left feeling disappointed. The API options are a bit thin compared to other platforms like Procore or Coins.

In today’s digital world, the more connected we are the better, and with the complexities of construction, it is important to be agile and flexible when approaching methods of work. This is an area that I hope RedTeam develops over time.

Interface and Glitches Takes Away Some of the Shine

Don’t get me wrong – it’s functional. But RedTeam’s UI doesn’t exactly scream “modern design”, nor is it easy to navigate. A little refresh wouldn’t hurt. Buttons are a bit clunky, and some dashboard layouts could use streamlining.

Furthermore, users report glitches and bugs that slow the platform down or crash whilst performing certain functions. In construction where there is no time to wait, this can be quite a serious issue.

My Final Verdict on RedTeam

All said and done, RedTeam is a rock-solid option for mid-sized general contractors who need a serious, contractor-built tool to run their projects.

The project management suite is thorough, the change order tracking is excellent, and the subcontractor management features are some of the best I’ve seen outside the big boys like Procore.

That said, it’s not perfect. Pricing could be more transparent, and the user interface could use a bit of polish. It’s also not quite as customizable or integration-friendly as some newer platforms.

But if you want a system that gets the job done – and was clearly made by people who’ve worn steel-toe boots and hard hats to work – it’s worth a look.
